I used Vital Consular for apostille services for an ACRO certificate and a medical certificate for a Spanish student visa application. I paid £165 in advance, expecting a professional expert service. Unfortunately, my medical certificate was rejected because it had an electronic signature instead of a handwritten (“wet ink”) signature. While I understand this may technically originate from the issuing doctor, I was very disappointed that a company specialising in apostille and legalisation services did not identify such a common and foreseeable issue before processing the document. What frustrated me most was that after obtaining a corrected version with a handwritten signature, I was asked to pay the full fee again to reprocess the document, with no discount or goodwill gesture offered despite the significant cost already paid. For a premium-priced service marketed as specialist support, I expected more proactive guidance and customer care. The process caused unnecessary stress and delays during a time-sensitive student visa application. I rarely leave negative reviews, but I genuinely felt disappointed by the lack of accountability and flexibility shown throughout the process.

Hi Rossana Thank you for taking the time to leave your review. I am sorry you feel disappointed with the service we offered. Any medical documents for Spain has to be apostilled against the doctors or practitioners signature rather than a solicitors. In your case we received the document with a digital signature rather than a wet ink signature. This doesn't usually offer any issues but unfortunately on this occasion the Foreign Office rejected the document and requested the wet ink signature. As they had rejected the document they do not refund any monies already paid to them so to re submit a document is an additional fee. Once again, I am sorry you were not happy with the outcome.
I booked the urgent service for an attestation of my bachelors degree. The promised 6-10 days are their most optimistic outcome which could not be adhered to and is basically not achievable for them. Relying on that, left me with some salary loss as my working visa process got delayed by that. Within the process, I asked for a scan as soon as they get the attestation - they charge extra of ~€20 (for a simple scan!). The "express" delivery took them a week to process and they charge ~€70 for that. I pointed that out via email communication to may at least get the urgent delivery fee refunded. What you get are some AI-generated answers referring to their T&C and further external factors, don't seeing any mistake from their end. They also don´t care about the urgency itself - I had better experiences with government authorities. Many things don´t add up here - If you pay ~€ 500 for a service, you expect a different kind of treatment. Only book their services for non time-critical services, if at all.

Thank you for taking the time to leave your review. As mentioned in the email correspondence Vital completed your order within the timeframe quoted. Unfortunately when we were dispatching your order the conflict in the Middle East was starting. Also it was Easter within the UK which did affect the delivery timeframe. All this was explained to you prior to you placing your order and you still decided to move forward and order the service through our website. In regards to the Pdf scan. When you are placing your order on our website you are asked if you would like to add a scan to your order for 15 pounds and you requested not to. Once your order was nearing completion you asked for a scan to be sent to you to but did not want to pay the fee for the additional service. I am sorry you are not happy with the service we undertook for you. We did everything we could as a company to minimise the delivery time with the conflict in the Middle East. The courier we use had to re route which was a longer journey. There is nothing we could have done to make this part any quicker. Apologies
I was really disappointed with my service from Vital. Whilst I eventually received my documents, there were many hold ups and issues along the way tjhat made the process painful and left me feeling like I paid for a service I did not receive. I will set out the issues I encountered below: 1. The original email confirmation included incorrect information (or at least, incomplete information): I was instructed to send my original documents to the Vital offices. I paid for postage in advance, and happened to have another query meaning I phoned up the office, at which point they informed me NOT to send my originals, but to email scanned copies of the documents instead. Had I known this, I would have sent them 2 weeks earlier, and saved myself the postage fee I already paid and sped up the process significantly. 2. There was little communication when my documents were being processed (and they were processed for over a month) so I had little confidence where the documents were, whilst my new employer was asking for them 3. I was sent an email claiming my documents had been sent to me, but the tracking code was missing. When I reached out, I was told I wouldn't be sent my documents until I paid my 'outstanding fees' I wasn't aware I had. The original email had been sent in error, and my documents would be witheld from me until I had paid out. 4. This is the one that made me really quite upset, as I was made to feel like this was my fault and that I purposely had tried not to pay, which is not something I would ever do - I was charged for an upgrade I never had, and forced to pay for it. I had discussed upgrading my service to 'express' via email previously, but decided not to, as the payment link didn't work, and I wasn't comfortable paying via bank transfer. My documents were then witheld, as I never paid the upgrade fee - but my documents were not processed via the upgraded timeframe. In fact, they took over 4 working weeks after I discussed the upgrade (and after I had sent them), which is even longer than the advertised 'standard' timeframe. Even though I pointed this out, my documents weren't sent until I paid for the upgrade that I didn't receive. I was informed that since I requested it, but didn't pay, they made the decision to proceed with the upgrade anyway. This is simply not true, but when I informed the team of this, they did not respond, and I ultimately had to pay the additional charge, as I had already waited so long for my documents. Overall, I had some good experiences with customer service at the start of the process, but I was left feeling quite upset, without my documents for a long period of time, and very much overcharged.

Having reviewed all correspondence relating to your order, I can confirm that at no stage did you express any dissatisfaction. On the contrary, your communications conveyed appreciation for our efforts to process your order as efficiently as possible. You were advised that we would commence your order using the PDF documents provided. This was due to one of your certificates requiring amendment to reflect a different name, which was causing a delay. In order to assist and expedite the process, we proceeded using the PDFs issued to you. In terms of communication, you received our standard update emails at the completion of each stage of the process. These updates are sent to keep clients informed of their order’s progress and to assist them in updating their HR departments when required. You did receive an email advising that your order had been shipped without a tracking reference. I apologise for this, as this message was sent in error and I understand how this may have caused some confusion. Regarding the additional payment, you requested an upgrade from our standard service to our express service. In order to continue progressing your order without delay, we proceeded with the process prior to receipt of the additional fee. Once the order was completed, payment of the outstanding balance was required before dispatch. Despite a one‑week closure at the Embassy, we still completed the service within the 20‑working‑day express timeframe.

When your documents were received from the British Virgin Islands the Notary there had omitted to sign one of your documents so we had to send it back to be signed which did delay the process slightly. We did try and rectify the issue as quickly as possible for you.
Everything through from payment to service offered to mistakes, general negligence and staff attitude was very poor.

When you initially paid for your order you used Apple Pay and doing this added the address that was linked to your Apple pay account as the delivery address which you confirmed to my colleague you were working at around 8 years ago. Unfortunately this is nothing to do with our system and I apologise if you feel it is. I can vouch for all members of the team that their attitude towards all our clients are exemplary and they will always go above and beyond to help with any questions or queries any of our clients have.
Very disappointing. Requested they send me a scanned copy before sending documents but they did not. Requested update and they told me it was not ready yet, but same day it was delivered to someone, but not my address as requested in order. They are not responding to my emails. I still have no idea where the documents are, all for the price of £480.

I have checked the email correspondence and it does seem that we have mailed your paperwork back to your UK address that you initially opted for at the point of payment. I can see that you emailed advising that you were leaving that address on a specific date and to send to an alternative address and the system was not updated accordingly. I am very sorry. Looking at the emails it does look like every request you have sent has been replied but please do get in touch and let me know if you feel they have not and we can go through them. I apologies for any inconvenience caused.

I have checked your order and email correspondence and I can see that we received all the required paperwork on the 16th July and we then dispatched your completed paperwork on the 8th August. I can see there were some confusion initially as when we issued the quotation we issued it to your overseas country you were relocation to but when you made the payment you entered a UK address instead. I do hope this places your mind at ease
My partner and I purchased the 10-day legalization package for our documents on 11/06/2024. Unfortunately, I didn't receive my documents until 26/07/2024. Although I sent my passport a bit late on 27/06/2024, it still took the company nearly a month to process and return my documents. I was leaving the country on 22/06/2024, so I didn't get my documents in time. I kindly asked if they could send me PDF versions to mitigate the inconvenience. Two staff members confirmed via email (which I have proof of) that they would send the PDFs. However, a week later, they informed me I would need to pay for the PDFs and refused to send them without payment. I do not recommend this service and will not be using them again. Very inconvenient company.

Please see below the email response. 14/6/24 - Vital Consular received your paperwork and when your paperwork was booked onto the system we requested a scan of your passport so we could start the process. 27/6/24 - The passport scan was received As you had sent a police check that had to be processed on the original document you were advised that if you wanted your qualifications to be processed as a certified copy then we would not be able to do all the documents under one cover sheet. However, if you were happy for your qualifications to be processed as their originals we could process all your documents under the one cover sheet saving you fees. 07/7/2024 - You confirmed you were happy to process all your original documents under the one cover sheet. 08/7/2024 - As we now had everything we required to start the process your order was started. 25/7/2024 - Your order was dispatched to you Vietnam Express process is a 2-3 weeks processing time and based on this your order end date was due on 29th July if we base it on the 3 weeks. I am sorry that you are feeling frustrated with the service but the processing time does not and can not start until we have all the documents and information required so unfortunately even though we did receive you paperwork on the 14/6/24 we were unable to start the process. In regards to the scan, I can see that Toby did offer to forward the scan when the documents were completed but I cant see where this was sent so I apologise for that. I have attached the scan to this thread. I do hope the above places your mind at ease that we processed your order as quickly as we could once we had all the relevant information to do so. Terrible. Waited around a month for a 10 day service. Staff were friendly over email and seemed to be helpful. But diddnt stick to what they said at all. I ended up having to leave the country without my documents. Vital could not even send me a pdf which they said over email they would then told me I had to pay, which I hands down refused. Do not use vital.

To be honest I was very disappointed with the service we received this time around. We are usual customers of Vital Consular and have used your services multiple times. This time there was a big delay in receiving our documents that cost us to pay fines for my childs residence status where we live. We paid the extra premium and opted for express service but still received the documents late as if it was a standard service. Another thing is that the team at Vital Consular messed up the attestations. We requested for specific attestations on each document but unfortunately nothing was followed as we clearly requested multiple times. When I called to complain one of your team members basically told me he couldn’t do anything to help solve the issue even if it meant attesting the certificates correctly again.

I have checked through all correspondence in regards to your order and I am sorry I can not see anything to do with an error on your order. If Vital have done something incorrect with an order we will always rectify the problem free of charge so if you were told anything other than this then I apologise for that.
I paid for express urgent delivery on my documents. When they finally arrived my name was misspelt on the documents. I was so upset as I had a job/flight lined up abroad and because of this mistake (although my passport and certificate documents clearly stated the spelling of my name) I had to send back the documents for them to be corrected which took another 7-10 days. I missed the start of my job etc and it really set me back. I understand a simple mistake is easily done however when I contacted vital consular about a refund or any reimbursement for the delay and trouble the mistake on their behalf had caused... There was no reply to my emails or to issue any sort of refund or reimbursement for the emergency urgent delivery service I had paid for. I am still trying to get into contact with them today and still no reply.

Hi Caley Thank you for getting in touch. Apologies you are unhappy with the service we provided. I have checked through all correspondence and I can see that initially one of our team assisted in helping to get your document re done without the original because the school you were at had lost your attested copy which was also your original. You are correct and the document was created in the name of Carley instead of Caley and for this we sincerely apologise. Once this was pointed out the problem was sorted on our urgent service which takes a few days to complete. You have been offered a full refund for the courier fee in which you have accepted and this is going through the process at the moment.
I paid for Express service which should have taken 10 days. However days at consulate and received documents after one month. Too late. I requested some refund on the Express service but e mail ignored and no reply. Very poor and would not use this company again. It's a scam!!!!!

Unfortunately at the time of your order the Embassy were working very slowly and we could not ascertain the reason why. I paid extra for a speedy legalization process promised by the vital consular in the UK. Customers pay an additional fee for a 10 - 12 day legalization service, which I needed to secure a position at a university. I have waited from the 20th of January until the 22nd of February. This is unacceptable. The vital consular office blamed the Chinese embassy for taking their time. Without the proper legalization of the documentation, the university cancelled my contract. People who have been to Taiwan would understand the necessity of speedy accurate delivery of important legalized documents which the vital consular could not provide. No refund mentioned at all, although I insisted on it. They did apologize, but the loss and all the responsibility I had to bear. Again, unacceptable. I would not recommend their service to anyone.

Thank you Casper for taking the time to leave your review. Your order was delayed and did take longer than the usual time. This was due to your University requesting an additional process so our solicitor could verify your document. For Taiwan we cant just process documents with a solicitor certification it has to be verified. Usually this process is very quick but because of the University requesting something different unfortunately this did take far longer. We process many documents for the use in Taiwan and have never incurred any issues. Vital Consular are very sorry for this. We have now changed the process slightly so our clients are aware that there may be a delay at the verification stage. Hopefully the refund you received will help show our apologies.
Incorrect legalisations, no admission of error until the third attempt, def not 100% guarantee, no visa as a result and a year in Spain potentially cancelled.

The process changed mid legalisation for doctors letters and this is why the first letter was rejected by the Spanish Consulate. We could not have foreseen the change but saying that Vital made the mistake the second time around and had the letter certified against the solicitor rather than the practitioner and this was our error. Due to this happening there have been new processes put into place and other processes changed along with system changes so it does not happen again in the future. I do hope that the full refund of your order will go some way as an apology for the inconvenience and once again we are very sorry for the error.
I understand the current world and circumstances with Corona are very challenging, however, it has taken 5 months (I still don't have them yet) and 1726.95 pounds to get my documents attested. What I am struggling with the most is the lack of communication from Vital Consulars. I had to make multiple phone calls to them to chase up on the status of my documents along with a number of emails. I received confirmation that my documents were completed along with a UPS number and yet they were nowhere near completed and it was a 'misunderstanding'- only after I followed this up with a phone call I was told it wasn't the case. There was no set person that I was in contact with it seem multiple people were working on my file and they needed to follow up with them. I had to call the Embassy to find out information that should have been passed on from Vital Consulars but wasn't. I spoke to someone from Vital Consulars and they said they would send me a letter so I could pass this onto my new employer as the process was taking so long but I never received this. I completely understand Vital Consulars is busy but for that price, I would have expected better communication and am still waiting for an update!

Thank you Ashton for taking the time to leave your review. I have looked into all your concerns and yes, I can see that there were a delay with your order and for that I do apologise. The delays unfortunately were out of our hands as the Embassy in New Zealand was closed from when you placed your order to early May of this year. Unfortunately we were not aware of this situation initially until we had made many follow up emails with New Zealand to ascertain why your order was taking so long to complete. We can have various team members working on any order at one time. Every employee that works on one of our clients orders always make themselves aware of what has gone on before and what is still to happen. We do this so not to delay the process unnecessarily. I am really sorry that you were not happy with the service we provided and all your comments will be taken on board and looked into.
Hopeless! Takes so long and way longer than they say. They can't even tell you exactly why it takes so long and don't even know where your document is. Its pathetic! No one can help you and they won't help you to make things move forward. This is causing me so many problems. No visa yet, can't get a bank account, no pay till I get this certificate back. Do not use them! Get it done by someone else. They charge you a huge amount of money for this and don't deliver. Forget them.

Hi Yannick, thanks for your feedback. I can fully understand your frustration in the process taking a little longer than expected. We do advertise 75-80 days for this service in usual circumstances, but we have been notifying customers at the moment that due to backlogs at virtually all government departments across the globe due to the pandemic, we are experiencing some slight delays. We have done all we can to keep you updated and prevent delays where possible, but unfortunately some situations are out of our hands and we are at the mercy of the Department of State and how long they take to process a document. I can see that you document is now completed and will be on it's way to you tomorrow. I intend to get in touch with my contact at your new employer to update them on the situation so they're aware of the delays and what has caused them. I hope this goes some way to easing the pressure for you.
Took a very long time to deliver the service a lot longer than I was originally quoted. A lot more expensive than rival companies and not a better service.

Thank you Sarah for taking the time to leave your review. I have looked into your order and it does look like the UK part did take a few days longer than usual. Unfortunately, due to Covid we are unable to make in person submissions with the Embassy and everything has to be sent via a postal method which can delay things slightly. Your final stamp in country was completed before the quoted time frame. In total your order was 3 days later than quoted and for that I do apologise. We do always endeavour to complete orders on or before the quoted time frames.
If there was a no star option I would take. I sent 200 GBP 2 months ago . I was told on Monday 19th of April the attesting had been started and they did not even know what the money was for even though one of their staff acknowledged the payment by stating their was an 8GBP over payment when the payment arrived. I have asked for my money back on Monday 19th of April so far no money and no apology for wasting my time

I can see that you had made payment for the process required but you had never sent us the documents you needed legalising. We then made contact with you to advise that they had not been received to which you requested a refund. This request was sent to our finance team straight away and subsequently was processed straight away. Unfortunately we can not be held liable for the amount of time it takes to enter your account.
