I feel the renewal process is far too overcomplicated. I understand to achieve the initial accreditation a considerable amount of documentation and evidence is required, however, the renewal process needs to be streamlined. Having recently gone through the process, I found myself having to submit documentation already submitted initially, for example, procedures, policies, training certificates, the focus should only be any changes and updated information that has an expiry date, for instance, an insurance certificate, QHSE Policy etc. All the accreditations we hold, such as our ISO certificates, FPAL, Achilles, ISN, F4N to name but a few all accept documentation already submitted and focus on compliance and improvements. I was contacted by a pre-auditor to provide a whole library of evidence, most of which was submitted the previous year. A few emails later, as I suspect the individual did not fully understand the evidence submitted, I was then contacted by the auditor. Again further evidence was requested, some of which had already been submitted to the pre-auditor. In short, the Safecontractor renewal process is far too over-complicated and in essence, is nothing short of applying for accreditation from scratch.

Very frustrating that portal to renew is only opened only 4 weeks prior to expiry - when the renewal docs are not audited for several weeks. However, when the auditor finally reviewed our documentation she was very very helpful :). She was excellent- professional and friendly.

Hi IKM Network Communications Ltd, Thank you for your feedback. We truly value the insights we receive from our customers, and in response to your feedback, we've made an improvement. Previously, you could submit the renewal questionnaire 30 days before your expiry date. Now, we've extended that window to 60 days before expiry, giving you an additional 30 days to complete the submission. We hope this change makes a positive difference as you prepare for next year! Best regards, SafeContractor

Not the easiest process for sole traders who are all roles in the company as one, something seems to change every year with the process. This year our method statements were not adequate but have been adequate for the past 3 years.

The assessment carried out by the Auditor is fine and professionally applied however the process is poor and frustrating, please consider: 20/12/21 Questionnaire released with follow up invitation to submit issued on 21/12/21 with a link that did not work. 22/12/21 questionnaire duly completed and submitted for assessment. 23/12/21 message received informing that our certificate expires on 11/1/22 but “if you pay an extra £156 we can speed the assessment process up ensuring it's in the front of the queue on 4th January” following Xmas break - really ! 12/1/22 received notification that safe PQQ had been passed however it was not until the 24/1/22 was the first feed back was received concerning safe contractor in which additional information not requested in the original questionnaire of the 20/12/21 was asked for , not clarification but entirely different information, some 32 days for this request ? The additional information was immediately submitted and on 28/1/22 the auditor requested clarification on one piece of evidence, the safety policy. this was immediately provided and on 2/2/22 we were notified that we had passed the assessment. In consideration of the above the 20 working day turnaround offered was clearly not achieved, the release of the questionnaire was late on 20/12/21 relative to the expiry of our certificate on 11/1/22, the first look through carried out in preparation for the auditor to determine what additional information to the questionnaire was required was far too late in the process on 24/1/22 and the offer to expedite the whole process made on the 23/12/21 some 3 days after issue of the questionnaire knowing our certificate expired on the 11/1/22 looks at best opportunistic. when discussing via email with the account manager it's suggested "you can submit questionnaire any time of the year " not sure how that reconciles with the annual release of the questionnaire? Respectfully suggest somebody needs to look closely at the process and to repeat the audit itself is diligent and professional.

no issues with the system but there appears to be a lot of confusion in the office and a lack of communication

found it difficult to contact an advisor to discuss questions raised during the accreditation. We do not agree with having to pay for SafePPQ when we did not request it and do not want it. Just seems like a money making scheme.

To be honest I did feel that the auditor was being slightly pedantic in her approach, I received the help needed to get accreditation which was really beneficial. This year I was asked for documentation on particular that I hadn’t in previous years { 1 in particular was asked for the CV of my H&S advisor, never been asked for that before. 2 was asked to fill in an inspection form, again in previous years I have never been asked for this) Business is stressful enough at the moment with our added complications of someone being so pedantic. My apologies but you did ask. Thanks Kevin

It’s an online assessment that show a customer you can provide a basic safety standard on paper. They don’t carry onsite audits so can’t say it’s going to show you operate on site safely. We carry out onsite assessment with an independent H&S assessor which has much more value. Heyho it ticks a box

completed all the relevant documentation within time of the expiry date, but after 20 days I had to contact SafeContractor to chase up the process, who informed me that an auditor will be looking into it soon. Then I had to wait a further 2 weeks due to the Christmas break and then again I had to phone to chase up!! following this phone call we passed the accreditation process within a day of making the call.

We submitted our application 3 weeks before our certificate was due to expire. The application was not assessed until the day of the expiry. There were some items we needed to re-submit. This meant our accreditation lapsed for a few weeks. This was flagged on our Dwellant profile and could have resulted in us losing contracts. It would be great if the assessment process started as soon as the documents were submitted and we would like some advice about the optimum lead-in time to ensure this doesn't happen again next year. All the assessors were really helpful

Usually, the accreditation process is straightforward, however, the situation with Covid, lockdowns etc. this past year has meant our ability to carry out Site activity was limited. This meant it was difficult to meet the request to provide a sub-contractor site audit within the last 12 months. I provided one that was just over 12 months old, however, this was deemed as unacceptable and one within 12 months had to be provided. It was disappointing to find Safe Contractor were not willing to allow any flexibility given the exceptional circumstances we have all faced over the last two years.

I believe when gathering evidence the portal could be more specific in how to meet the particular requirements. My experience of this years application was fraught with delays, with requests for further information, when on many occasions when this was explained further in an email it was judged as sufficient. However, this cause me additional labour and time.

There seems to have been a lot of extra issues this time when we went to renew, even though we hadn't made any changes and so the situation was dragged out a lot more than normal.

The general questionnaire is quite simple however, this is overshadowed by mixed messages from reviewing staff. After first completion it goes for review prior to final review. At final review different things are picked up. There is also a lack of assistance for contractors to provide the correct information.

When completing questionnary for new renewal accreditation this year, we took care that no checking of prior loaded documents were made by auditors, e. g. regarding to maximum working days statements on UK, loaded on 2018. This issue causes us a little bit of misundertanding and confussion filling up and giving response to the current auditor, because new auditor required us others Employer´s Liability insurance cover not required on 2019 neither 2020. We were a little bit losen because any situation has changed about this issue.

Dear Sirs I feel that the price increase in this year’s subscription was unfair considering how the pandemic affected many companies in the service industry in the past year. I also felt that some of the extra questions I had to respond to were unnecessary. But then again you know that we all need this certification so I guess alcumus feel they can do as they wish. Thomas and Emma were really friendly and very helpful. Victoria Spring wasn't helpful at all, i wrote several emails to her stating i needed a phone call from her, raised ticket to be called back but never got a phone call but i did get an email at 9.45pm 2 days later with the subject 'following on from our phone call' we never had a phone call to follow on from. i am assuming because we paid premium price for assistance she had to send that email to look like she had contacted us in the required timeframe. Again i explained i needed help to complete the questionnaire via email before she sent it off to be audited. I didn't get a phone call and she submitted it anyway.

although not signed up to the immediate review, which believe is something that you exploit, it took around 35 days for response. Upon asking for additional information, I had to repeat answers that provided clarity to the question, but the same question was asked again SafeContractor is obtained as most companies recognize it, but we do not see much benefit beyond this

I would have liked SafeContractor to take more control during the processing of my journey, maybe we were to blame, but we would certainly have liked to be made accountable during each step going through the accreditation process
